How APMF 2027 Bangkok collects, uses, and protects your personal data.

1. Who we are

This website (apmf2027bangkok.org) is operated by the Organizing Committee of the 11th Asia-Pacific Menopause Federation (APMF) Scientific Meeting 2027, on behalf of the Asia-Pacific Menopause Federation ("APMF 2027 Bangkok", "we", "us"). This policy explains how we collect, use, store, and protect personal data submitted through this website, in line with Thailand's Personal Data Protection Act B.E. 2562 (2019) ("PDPA").

2. What data we collect

  • Registration data — name, title, email, phone, country, institution, professional licence number, passport number, dietary requirements, and payment details necessary to process your conference registration.
  • Abstract submission data — presenter name, email, institution, country, and the content of the abstract you submit.
  • Contact / enquiry data — name, email, and message content submitted through the Contact page.
  • Payment data — for card payments, your card is tokenised directly by our payment processor, Omise; we do not store full card numbers on our servers. For bank transfer, we store the payment slip you upload for verification purposes.
  • Technical data — standard web server logs (IP address, browser type, pages visited), used for security and troubleshooting.
  • Visit records — each time a public page on this site is opened we record the date, the page, the IP address it was opened from, and the country that address belongs to. We also store a code that lets us recognise the same visitor within a single day, so that we can count people rather than page loads; the code is derived afresh each day and cannot be used to follow anyone from one day to the next. Automated crawlers are excluded, and pages in the administration area are not recorded.

3. How we use your data

  • To process and confirm your registration, abstract submission, or enquiry.
  • To communicate with you about the event — confirmations, updates, and logistics.
  • To issue receipts and, where applicable, submit CPD/CME points to your professional body.
  • To process payments securely through our payment gateway partner.
  • To compile anonymised statistics for reporting to the organizing committee and sponsors.
  • To count how many people visit this website, which pages they read, and which countries they come from — so that the committee can see whether the meeting is reaching its audience across the Asia-Pacific region.

4. Who we share your data with

We do not sell your personal data. We share data only where necessary with:

  • Omise (our payment gateway) — for processing card payments.
  • The organizing committee and secretariat — to administer the conference.
  • Relevant professional bodies — only where you have requested CPD/CME point submission.
  • Service providers who host this website and send transactional email on our behalf.

Visit records are not shared with anyone. In particular, the country shown against a visit is worked out on our own server from a list held there, so IP addresses are never sent to any analytics or geolocation service. This site uses no third-party analytics and sets no advertising or tracking cookies.

5. Data retention

We keep registration and abstract data for as long as it is still needed for the purposes set out above — confirming and administering your attendance, issuing receipts, reporting to the organizing committee and sponsors, and verifying CPD/CME points with your professional body — and for any longer period that accounting, tax or other law requires us to keep the record. Once none of those still applies, the data is deleted or anonymised.

Payment slip images are kept only until the payment has been verified and reconciled.

Visit records are retained for 12 months, after which the IP address is removed and only the day, the page and the country are kept as statistics.

6. Your rights

Under the PDPA, you have the right to access, correct, or request deletion of your personal data, to withdraw consent, and to object to certain processing. To exercise these rights, contact us using the details below.

7. Security

We use reasonable technical and organizational measures to protect your data, including restricted admin access and secure payment tokenisation. However, no method of transmission over the internet is 100% secure.

8. Cookies and similar technology

This site sets one cookie: a session cookie (PHPSESSID) that keeps you signed in while you complete a registration, an abstract submission or an enquiry. It holds no personal data itself, it is deleted when you close your browser, and the site cannot carry you through those forms without it.

We set no advertising, tracking or analytics cookies, and we use no third-party analytics service. The visitor figures described above are counted on our own server and use no cookie at all.

Two things on this site are loaded from elsewhere, which means your browser contacts them directly:

  • Google Fonts — the typefaces the site is set in. No cookie is set, but Google receives the request.
  • YouTube — the introduction video, embedded through youtube-nocookie.com, which YouTube provides so that nothing is stored on your device unless you press play.
